STAGE I: Getting started
1. Wait until Financial send an email confirming the effective date under new Managing Owner (last day-old owner /
first day new owner) to all persons / groups involved before performing the below
2. Group who is currently in charge of the vessel to check if there are any crew changes materializing in-between the
effective date (last day-old owner / first date new owner). If there are crew changes, group to contact the crew
accounts Supervisor (MN CYP Christos Attipas and for MN NLD Mina De Kort), who will in turn advise if crew changes
should be performed before or after the CMAN database process
3. In case there is more than one officer on board, e.g., two CAPT’s – you will need to manually assign the seafarers in
stage III (Not to be done automatically by the system). You can then follow on from section III > point c
4. You will need to disable the customer requirements prior to signing off your crew and then activate and/or update
them again after s/on
Note: In case there were cc’s in-between the CMAN dates, please also copy accounts payable [email protected] into the final email, once the whole process is done.
STAGE II: Signing off crew under old managing owner
Group currently in charge of the vessel to do the following steps:
1. Disable all customer requirements
2. Remove all crew presently lined up and reject their proposals
3. Reject any future proposals for crew currently on board
4. Remove any ‘reminder lines’ from the cc screen
5. Delete any empty crew change lines
6. In a separate Oracle session, go to ‘Maintenance > SEA Tools > Auto Sea Service’
7. Enter vessel’s name
8. Enter Sign Off Date (should be last day - OLD owner)
9. Click the ‘sign off’ button. All crew presently on board will be signed off
10. Advise Financial (for MN CYP Xenia Christofi and for MN NLD Renato Godschalk) to go ahead with the auto changes and to let you know once done
NOTE: In case the vessel is transferring to another group inform the new group to proceed with stage III
STAGE III: Once Financial revert back
If the vessel also transferred to a new group, this group should perform the following:
FIRSTLY, Please follow steps 6-8 in stage II above and then:
1. Click the ‘Assign Positions’ button. All seafarers who were on board will now be lined up again
– check your crew change screen
2. Check that all crew are lined up in the correct positions. Any adjustments needed, should be done manually.
3. Click ‘Create SEA’ button. All seafarers will be given a new financial offer
4. Check each financial offer for correctness (duration, S.E.A. type, wage scale and split up - any adjustments needed should be done manually)
5. Fill in the FIN INFO details for each seafarer (Business Activity, all paid by fields = air, land, salary)
6. Click on the ‘Sign On’ button. All seafarers will now be back on board and process is done and you may continue with you crew changes
7. Activate and update the customer requirements as necessary. If there are still vessels under the old managing owner, please make sure that all applicable customer requirements are reactivated (or inform the respective group that is responsible).
8. Finally, after checking the MNC-45-111F2 - Vessel Change of Details – Activities, Change of Mng Owner section, send an
email to [email protected]. Don’t forget to copy accounts payable [email protected] into the
email, in case there were cc’s in- between the CMAN dates
